Activity Roster Field Descriptions

The Activity Roster, accessed through the Activity Monitor, provides a detailed view of the students who have registered for an activity.

Field Descriptions
Total Students The number of students signed up for the activity.
Payment Complete The number of students who have paid for the activity.
Form Complete The number of students who have completed all the forms required for the activity.
Registration Confirmation Process

When the toggle is set to on, the Registration Confirmed column will be read-only and will be auto-checked once all forms requiring e-signature have been flagged as "Complete" and the Payment Complete box is checked.

Auto Form Lock

When turned on:

  • As a form is filled out, it will auto-lock and complete without manual review upon saving. This applies to both required and optional forms.

  • If there are existing forms in "review needed" or "action needed" status with all fields complete, those forms will also auto-lock upon save.

  • After auto-locking, there is no way to undo the lock.

  • After auto-locking, forms can proceed to Auto-Post to Course Section if that's enabled.

Post to Course Section

Auto Post to Course Section

Students will automatically be added to the section roster after the registration confirmed checkbox is checked.


Do Not Post to Course Section

Students will not be added to the section roster. Previously posted students remain on the section roster.


Manual Post to Course Section

Manually add students to the section roster by clicking Preview Section Roster.

Add Individual Students Enter a student's name to add them to the activity after selecting and saving.
Review Eligible Students Shows all students from the activity's Ad hoc filter and their current registration status without automatically populating them into the roster.
Expand Details Expands each student to display forms associated with the activity.
Filter Allows you to select which students appear in the roster list.
Select Allows selected users to be removed or transferred from an activity.
Student Listing of student names alphabetically by last name that are associated to this activity. 
Student Grade The grade each student is in.
Payment Status Shows if a student has paid for an activity or if a payment has been refunded. If the payment status is blank, a payment has not been made.
Required Forms Complete Used for when required forms are received in person.
Registration Confirmed Used to indicate when activity registration has been confirmed. The column will be read only when the Registration Confirmation Process toggle is turned on.
Option Purchased Displays the purchase item associated with each student's registration. Depending on the student's status, the column may display a button instead of (or in addition to) the drop-down:
  • Select Purchase Details - Appears for manually added students who haven't yet completed payment. Clicking it opens the payment side panel, where staff can select a purchase option and process cash, check, or credit card payments.
  • View Receipt - Appears after a successful payment. Opens a side panel showing transaction details, with options to print or issue a refund for cash or check.
Remove Removes each selected student from the activity. Students who have paid for an activity cannot be removed before they are refunded.
Transfer Transfers a selected student to a different activity.
Export Used to download an Excel file of the Activity Roster and Export Payments report with payments made for the activity.
