Displayed Gender

This page is IN PROGRESS

SIS-197376

LCP-75541

Infinite Campus is expanding our SIS functionality with more flexible gender options to meet districts' specific needs.

What is the issue?

Districts need additional security around who should have access to view gender information. This allows administrators to control which users can view gender information and which genders are displayed to the appropriate users.

What is changing?

NEW View Gender Tool Right

A new View Gender tool right is being added as an Additional Access Right, like Allow unfiltered search and rights for viewing Social Security numbers. This tool right controls whether a user can view the gender field assigned to a person, wherever gender is displayed - in Demographics, Identities, Campus Instruction, in reports and reporting tools, etc.

A user who is not assigned this right can no longer view the gender fields in the user interface and is blocked from viewing gender on relevant reports.

This tool right is either ON (the All checkbox is marked) or OFF (no tool rights assigned). The standard Read, Write, Add, and Delete operations do not apply to View Gender.

NEW System Preference to determine Gender display

A new System Preference, called Gender, has been added to specify which "gender" field displays in tools/reports. Administrators can choose to display either the Gender Identity or the Legal Gender field.

NEW Portal Portal Preference to display Gender

A new Portal Gender Identity Portal Preference allows administrators to choose to display Birth Gender, Gender Identity, or Legal Gender in the Portal. Gender Pronouns can also be marked for display

NEW View Gender User Group

As part of the Campus.2627 Release, Infinite Campus will update access to the View Gender tool right to ensure a smooth transition for all districts. This setup ensures that all users can view gender information while giving administrators the ability to adjust permissions as needed.

What to expect:

  • The View Gender tool right will be added to all existing active user groups.
  • A new user group called View Gender will be created in each district.
  • All active users will be automatically added to this new group.
  • This group will include only the View Gender tool right.

WHAT ELSE NEEDS TO GO HERE??

Attribute Names

The attribute name (the label that displays in the UI) for Legal Gender and Gender is now unlocked and can be changed from "Gender" to another name as the district sees fit. For example, if a district wants the field on the Identities record to show as 'Sex' instead of 'Gender', they can do that.

  • Dictionary values for gender CANNOT be changed. This value is what displays as Male, Female, etc.
  • In Ad hoc reporting, the field will still display as identity.gender and identity.legalGender.

These attribute changes do not affect districts in North Carolina and South Dakota.

Exceptions to Gender Display

The following tools do not adhere to the View Gender tool right. Gender is displayed on these tools regardless of a user being assigned tool rights to View Gender or not:

Transcript
eTranscript
Batch Transcript
Student Locator
Staff Locator
State Reports
Census Wizard
My Demographics
Combine Person
Student Records Transfer

What do you need to do?

Upon taking the Campus.2627 Release:

  • The View Gender tool right will be enabled for all user groups and for all users assigned the Administrator role.
  • The new Gender System Preferences will be set to Gender Identity.
  • Tool rights assigned to individual users will not include the View Gender tool rights.
  • The Gender and Legal Gender attributes will be unlocked, allowing users to update their display name at their leisure. For states where the attribute is already locked, it will remain locked.

Recommended action:

  • Review your user groups to ensure only appropriate users can view gender information.
  • If you currently manage access at the individual user level, consider using user groups to simplify ongoing management.
