State Edition users log in to District Edition sites periodically for a variety of reasons. The State to District Login workflow allows an admin to manage the login process to keep accounts secure and maintain traceability.
This guide explains how to enable State to District Login and set up a user group to allow State Edition users to log into District Edition sites.
Access to the State to District Login tool can only be granted via membership in an enabled User Group, as described in this article. Access to the tool cannot be granted via individual tool rights.
Before you start
- To use this workflow, State and District Editions must be linked via DIS.
- Users must have tool rights to the State to District Login Administration and to create User Groups.
Step 1 - Enable State to District Login and enter district URLs
Location: (State Edition) User Management > Settings > State to District Login Administration
The first step of setting up the State to District Login workflow is to allow the functionality and to enter the districts' URLs that users will log into.
This tool controls the overall State to District Login setting and stores the district URLs used to log in. - Toggle Allow State to District Login to on. As soon as this option is toggled on or off, that setting is pushed down to the district(s).
- For each district listed, click Edit and paste in the District URL. Click Update.
Step 2 - Create a State to District Login User Group
Location: (State Edition) User Management > User Groups > Add User Group
Next, create a User Group for users who will have access to the State to District Login tool. See the Add User Group article for more information about creating User Groups.
Note: These State to District Login user groups cannot be edited, they can only be deleted and recreated. | Create a user group with the State to District Login checkbox marked. |
Step 3 - Select Tool Rights
Location: (State Edition) User Management > User Groups > Tool Rights
Once the group is created, view the Tool Rights screen for the group and select which tool rights the group members should have. Note that since the user group grants access to the district edition, the rights shown are District Edition tool rights. For tools that have RWAD tool rights, only Read-level rights can be assigned via a State to District Login group.
- Mark the tool rights that should be granted to members of the user group.
- Click Save and Push to finish assigning rights and push changes to the group to the District Edition.
Users must be given Calendar Rights to district calendars as well as tool rights.
Step 4 - Add users to the new User Group
Location: (State Edition) User Management > User Account Administration > User Account
Finally, add users to the User Group. These users are given access to the State to District Login tool and can use it to log in directly to District Editions.
Click the User Group to add it to this user. - Locate the user via Search.
- In the User Account tool, scroll to the User Groups section of the screen.
- Find the User Group you created in Step 2. Groups with this option enabled display with a blue State to District Login lozenge. Click the group to add it to the Current Group Membership list.
- Click Save to finish.
Impact
Once these four steps are completed, users in the new User Group can use the State to District Login tool to access District Editions.
