The Student Attendance interchange is used to exchange daily attendance or class-level attendance. The interchange schema can be used in cases where just absences are reported, or where both attendance and absences are reported.

Report Logic

  • A record for each student who was enrolled for at least two hours for one or more days within the indicated reporting period and has an ADA eligibility not equal to 0 is reported.
  • Students in Grade Level code EE do not report days in Bilingual/ESL.
  • Bilingual and ESL Attendance report values only if the student has an active LEP Program Status AND an active LEP Service Type of B2, B3, B4, B5, E2, or E3 on the same service date. (not in requirements)
  • Students in grades EE through 03 should never report data in Pregnancy Related Services.
  • Days are reported only in whole days or half days. The total days reported for students in half-day programs such as Pre-Kindergarten cannot be more than half of the number of days taught for the reporting period.
  • The total days reported for each data element is specific for the reporting period. If a student has multiple entries and withdrawals in the same grade in the same school on the same instructional track during a specific reporting period, they should have two records for that reporting period, one for each school.
  • A student who changes grade levels but remains in the same school in the reporting period reports two records for that reporting period, one for each grade level.
  • Attendance entered by the minute is saved to the database as period-based. This means exact time is not reported, only the period in which it falls.
  • If there is no attendance code, Present code or Absent-Exempt code entered and no minutes into the Present Minutes field, the Period Start and End times are used to calculate the number of minutes Present by adding together the instructional minutes from any instructional period in which the student is scheduled into an attendance taking course. 

  • If a non-state code is set up and tied to a state reportable code, the state reportable code is used for reporting. For example, Code 55: Test is set up and tied to State Code E2. When a student has a service type of 55 they report the same as if they had code E2.

  • CTE attendance and V code calculations consider suspensions lasting longer than 5 days. If a student has a state reportable suspension (in school or out of school) within the reporting window that lasts longer than 5 days, any attendance days after the 5th day are counted as regular (not CTE) and the student does not report V codes.
  • When calculating CTE attendance days, logic excludes any date contained in a CTE Funding Exempt record that overlaps with the reporting period. 
  • When calculating CTE attendance days, logic excludes any date contained in a Non-Certified CTE record that overlaps with the reporting period. 
  • Students meeting any of the following criteria are not be reported:
    • A student who does not have a State ID.
    • A student who is marked Exclude, who is in a grade level marked State Exclude, or who is a School marked as State Exclude.
    • A student who is marked as No Show does not report for any enrollments marked No Show.

Regular Eligible Present Days Weight

If the student has an ADA record for the reporting enrollment with an ADA Eligibility...Then the regular Eligible Present Days Weight is...
2 or 6.5 for all attendance days within that record's date range.
1 or 31 for all attendance days within that record's date range.
NOT 1, 2, 3, or 60 for all attendance days within that record's date range.

Absent Days Weight

If the student has an ADA record for the reporting enrollment with an ADA Eligibility...Then the Absent Days Weight is...
2, 5, or 6.5 for all attendance days within that record's date range.
NOT 2, 5, or 61 for all attendance days within that record's date range.

Ineligible Present Days Weight

If the student has an ADA record for the reporting enrollment with an ADA Eligibility...Then the Ineligible Days Weight is...
5.5 for all attendance days within that record's date range
4.5 for all attendance days within that record's date range
NOT 4 or 50 for all attendance days within that record's date range

  • If ADA records for the reporting enrollment contain an ADA Eligibility of 0 or blank, the student does not report attendance for the ADA record's date range.

If there is only 1 calendar in a particular school, a value of 00 is reported. If there is more than 1 calendar in the school, the first school is reported as 00, the second school is reported as 01, and this sequence continues for all schools within the calendar.
