Excessive Absenteeism Extract (Nebraska)

The Excessive Absenteeism Monthly Collection reports the number of students enrolled in Kindergarten through 12th grade who were absent from school for more than two days (or the hourly equivalent) during the calendar month.

This extract is no longer collected. The information included in this extract has been incorporated into other extracts. It is available for reference.

Report Logic

Reported Students

  • All enrolled students, regardless of FTE, are included in the extract.
  • Any student who meets the definition in the current month's count, even if the student met the definition and was reported in a previous month's count, is included.

State Exclude

  • Students marked as State Exclude on their enrollment records are not included in the report.
  • Students enrolled in Grade Levels marked as State Exclude are not included in the report.
  • Calendars marked as State Exclude are not included in the report.

Calculations

The days absent for a K-12 student are reported within the selected calendar month report, except:

  • For the August/September collection, days absent are calculated from the first day of enrollment in the school year through September 30th.
  • For the May/June collection, days absent are calculated from May 1 through the last day of school.

Special consideration is not given to behavior events labeled Expulsion with Services or Suspension with Services. Standard attendance record logic during that time period is used.

Field

Description

Extract Type

Determines the extract that generates. Choose Excessive Absenteeism.

Reporting Period

Indicates which month the absentee data is reported. August and September are included in one collection, as is the May/June option. All other months are generated individually. A reporting period must be selected in order to generate the report. 

Format

The Excessive Absenteeism report can be generated in CSV format or HTML format.

Calendar Selection

At least one school calendar must be selected in order to generate the report. Calendars can be selected by Active Year, by School or by Year.

Generate Extract

Selecting this button generates the extract immediately in the selected format.

Submit to Batch

Selecting this button generates the extract at a designated time. See the Batch Queue information for more details on this option.

Generate the Report

  1. Select the Extract Type as Excessive Absenteeism.
  2. Select the desired Reporting Period.
  3. Select the Format in which to generate the extract.
  4. Select the desired Calendars for which to report data.
  5. Click either the Generate Extract Button or the Submit to Batch button.

Report Layout

The Report Layout includes three types of records:

  • A school record that provides totals for a school/calendar selected in the extract editor.
  • A student detail record for each of the students in that school/calendar who meet the conditions to return in the extract, sorted by Student Name, then NDE Student ID.
  • A district total record that provides a total across all schools/calendars selected for all state-required fields.

Days Absent

  • For the August/September collection, the days absent is calculated from the first day of enrollment in the school year through September 30.
  • For the May/June collection, the days absent from May 1 through the last day of school.
    Students enrolled in the school selected that reports in field 1 are used in the calculation.

For the enhancement line, calculations for this extract are pulled from the Behavior Management tool.

Student Count

Reports the number of students enrolled in Kindergarten through 12th grade who were absent from school for more than 2 days (or the hourly equivalent) during the calendar month.

Calculations are as follows:

  • Total instructional minutes the student is scheduled to attend across all active enrollments during the reporting period (Minutes Scheduled).
  • Total absent minutes (does not include Exempt Attendance entries) for the student across all active enrollments during the reporting period (Minutes Absent).
  • Determine the days of absence during the reporting period:
    • Divide Minutes Absent by Minutes Scheduled (rounded to the nearest hundredth).
    • If the student has an expulsion behavior resolution (Code 6: Expulsion without Services) with a date range of at least 1 day within the reporting period, sum those days.
  • If the total days of absences (calculated from attendance and behavior data) is greater than 2, a value of 1 is added to the reported number.

Long-Term Suspensions

Exclusion of a student from attendance in all schools within the system for a period exceeding five school days but less than twenty school days.

Only students enrolled in the school returned in Field 1 for the calendar selected in the Extract editor are considered. Attendance and Behavior Data is pulled from only the school returned in Field 1 for the calendar selected in the Extract editor.

A value of 1 is added in this field for students who returned in the Unduplicated Count of Students:

  • If there is a suspension behavior resolution (Code 4: Out of School Suspension without Services), with a date range where at least one of the days in the date range is within the reporting period, AND
  • If at least one of the student's absences during the reporting period has an Attendance Code of SUS (Suspended).

Expulsions

Exclusion from attendance in all schools within the system for a period exceeding five school days but less than twenty school days.

Only students enrolled in the school returned in Field 1 for the selected calendar in the Extract editor are included.

A 1 is added to the value in this field for students who returned in the Unduplicated Count of Students:

  • If there is a suspension behavior resolution with a date range of more than 5 days but less than 20 days in the date range within the reporting period AND
  • If at least one of the student's absences during the period has an Attendance Code of SUS.

Cumulative Count

Days the student has been absent for each reporting period prior to and including the reporting period selected in the Extract Editor for the reporting calendar only.

Days the student has been absent for each reporting period are calculated.

The following lists the reporting period and associated logic:

  • August/September - no cumulative count due
  • October (due November 10) - reports the number of students enrolled in KG-12 grades who were absent from school for more than four days from the first day of enrollment through October 31.
  • November (due December 10) - reports the number of students enrolled in KG-12 grades who were absent from school for more than six days from the first day of enrollment through November 30. 
  • December (due January 10) - reports the number of students enrolled in KG-12 grades who were absent from school for more than 8 days from the first day of enrollment through December 31.
  • January (due February 10) - reports the number of students enrolled in KG-12 grades who were absent from school for more than 10 days from the first day of enrollment through January 31.
  • February (due March 10) - reports the number of students enrolled in KG-12 grades who were absent from school for more than 12 days from the first day of enrollment through February 28.
  • March (due April 10) - reports the number of students enrolled in KG-12 grades who were absent from school for more than 14 days from the first day of enrollment through March 31.
  • April (due May 10) - reports the number of students enrolled in KG-12 grades who were absent from school for more than 16 days from the first day of enrollment through April 30.
  • May/June (due June 10) - reports the number of students enrolled in KG-12 grades who were absent from school for more than 18 days from the first day of enrollment through the last day of enrollment.

Referrals

Reports the number of referrals during the calendar month to the office of the county attorney for excessive absenteeism of a student enrolled in KG-12 grade. If a student was referred to the office of the county attorney for excessive absenteeism more than once during the time being reported, count each referral.

If a behavior event has an event code of 'EXA' connected to a behavior resolution with a code of 'RFL' with a Resolution Date within the reporting period, add 1 to the value in this field.

Total minutes absent divided by the total minutes scheduled minus Exempt absences and expulsions with or without services.

  • Instructional minutes the student is scheduled to attend for the reporting calendar each day of the enrollment during the reporting period are totaled (minutes scheduled).
  • Absent minutes for the student for the reporting calendar during each day of the reporting period are totaled (minutes absent). Exempt absences are not included.
  • Minutes absent are divided by Minutes scheduled and rounded to the nearest hundredth.
  • This rounded result is summed for each day.
    If the student has an expulsion behavior resolution with a date range where at least one of the days are within the reporting period, the number of days that meet those conditions are summed.
    All absences calculated from attendance and behavior data are summed and reported as the total in the extract.

Reports the number of referrals during the calendar month to the office of the county attorney for excessive absenteeism of a student enrolled in kindergarten through 12th grade. If a behavior event has a code of EXA and a resolution of RFL with a resolution date within the reporting period, a value of 1 is added to the reported number.
