This entity is the final record of a student's performance in their courses at the end of a semester or school year.

Object Triggering Logic

This table describes logic for triggering syncing of this object.

Post

When transcript records are posted for a student for course with a state code and in grades 9-12.


When a grade is posted to a grading task that is marked as State Reported and the student is in grades K-8.

  • Only reports transcript records where the record's school number is equal to the school number where the student is enrolled. Only reports records for the school year the enrollment is aligned to.
  • Does not report when posted from a course in an excluded calendar. When a transcript record is manually entered, only reports when the student has an enrollment in a calendar not marked as excluded.
  • Does not report when the Course is marked as inactive or State Excluded.
Post/DeleteWhen a grade is changed on a state reported grading task or part of the Natural Key is changed.
Put

When fields that are not part of the natural key are changed.

DeleteWhen a transcript record is deleted for a student.
DeleteWhen a state reported grade is deleted for a student.
Delete

Transcript records are deleted when a student has only one Student School Association record for a specific School and Year and that record is deleted.


Note: When a new Student School Association record is created, existing records does not re-post, a resync must be completed to resend the data.

Delete

When the Enrollment State Exclude checkbox is checked.


Note: When the box is unchecked the data does not post, a resync must be completed to resend the data.

Delete

When the District Number on the course transcript is changed and it no longer matches the reporting districts number.

School Exclude, Calendar Exclude, Resource Toggle and Resync Logic

This table describes the School Exclude, Calendar Exclude, Resource Toggle and Resync logic of this object.

NoneWhen a resource is toggled to 'OFF' after data has sent, all sent data remains in the ODS but no new data is sent.
ResyncWhen a record is in the Ed-Fi Identity Mapping table and not in the ODS, it is deleted from the Ed-Fi Identity Mapping table.
ResyncWhen a record is in the ODS and it does not have a matching record in Campus or the Ed-Fi Identity Mapping table, it is deleted from the ODS.
ResyncWhen a mapping is changed in Resource Preferences, a resync is needed to be done to reflect the changes.

Natural Key Changes, Cascading Updates, and Deletes Logic

This table describes the Natural Key Changes/Cascading Updates and Deletes logic of this object.

Natural Key change:

  • When he Natural Key changes from the Course Reference or Student Academic Reference, the cascading delete/post logic from those resources triggers updates to the Course Transcripts.

  • Records delete/post when the Credits Earned or Credits Attempted are changed on a student's transcript record.

Scope Year Logic

This table describes scope year logic of this object.

Logic

Transcript records send to each scope year where the student has a Student School Association, regardless of the Transcript School Year.

  • Data only sends for years that have valid configuration.
  • A resync must be completed at the beginning of each year so that all years transcript records are loaded in the ODS.

The result from the student's attempt to take the course, for example: Pass/Fail/Incomplete/Withdrawn/Expelled - To be used by K-8 grades that do not fulfill subject matter courses.

When reporting from State Reported Grading Task or Standard, use the Score Group or Rubric used for the posted grade to determine the Result Type:

  1.  Reports 'Pass' when the posted score has the Passing checkbox marked on the score group from where the grade was posted.
  2. Reports 'Fail' when the posted grade does not have the Passing checkbox marked on the score group from where the grade was posted.

When reporting from Transcript Records, uses the Credits Earned vs. Credit Attempted to determine the Result Type:

  1. Reports 'Pass' when the sum of Credits Earned is greater than or equal to the sum of Credits Attempted.
  2. Reports 'Fail' when the sum of Credits Earned is blank or 0 (zero).
  3. Reports 'Incomplete' when the sum of Credits Earned is not blank or equal to 0 (zero) and greater than the sum of Credits Attempted.

**Incomplete or Withdrawn are not reported from Grading Tasks or Standards and does not report "Withdrawn from transcript records". These values do not report.


Ed-Fi Course Result Override Logic

When Ed-Fi Course Result Override is populated with a value that is mapped to an Ed-Fi Code in Resource Preferences, that Ed-Fi Code reports. 


When Ed-Fi Course Result Override is NULL or not mapped to an Ed-Fi Code, the logic above is followed.

  4. Otherwise, reports the score in the Final Numeric Grade Earned.

  1. When transcript records are posted for a student for a course with a state code and in grades 9-12, use core logic:

    • When the grade selected on the transcript record matches a valid Ed-Fi code, reports the grade.
      • When no matching grade found with a grade level mapping, do not report this property.
  2. When a grade is posted to a grading task that is marked as State Reported and the student is in grades K-8, use AZ-localized logic:

    • Reports the mapped Grade Level from the Grade that the student was in when they completed the course. Reports from the enrollment record with same School Year as the transcript record.

    • When there are multiple enrollments that match, reports a single grade based on the following Local Service Type Hierarchy:
      1. P: Primary
      2. T: AOI
      3. A: Ancillary
      4. O: Program Only
    • When a student has multiple enrollments that meet the above criteria, report from most recent start date.
      • When start dates are the same, reports from highest enrollment ID.
    • When the student does not have a corresponding enrollment record, reports blank.

Use finalLetterGradeEarned as the initial input.
  1. Looks in AZ configurations for CourseTranscript > Final Letter Grade Mapping.
    • When the finalLetterGradeEarned matches a value in the Final Letter Grade column, reports the corresponding Ed-Fi code.
    • When the corresponding Ed-Fi code is not populated, reports blank.
    • When the finalLetterGradeEarned does not match any values in the Final Letter Grade column, report blank.
