Wisconsin Ed-Fi Data v3.1 - Student Education Organization Association

Tool Search: Ed-Fi

This association represents student information that is specific to a student’s relationship with an Education Organization.

Object Triggering Logic

This table describes logic for triggering syncing of this object.

ActionTrigger
Post

When an enrollment is created and saved for a person and the enrollment overlaps a configured year.

  • Only one record is posted per student.
  • Do not send a student record for an enrollment that is marked as State Exclude, No Show, or WISE Exclude.
  • Do not send a record if enrollment is in a calendar marked as State Exclude, Summer School, or in a School marked Exclude.
  • If Ed-Fi Configuration Profile = Choice + Opt in report a record for all eligible students if Choice = Yes or No on the student's enrollment.
  • If Ed-Fi Configuration Profile = Choice AND Choice = No on Student enrollment, do not report a record.
  • Send only one record per unique School/Student combination based on primacy if there are overlapping records:
    1. State Enrollment Type = Primary
    2. Enrollment Type = Primary
    3. Enrollment Type = Special Ed
    4. other enrollment types or state enrollment types
PostIf the School Override field is populated on a student's enrollment, report the record with the associated Ed-Fi School Number.
PostWhen a student's FRAM record is ended.
PutWhen the Immigrant indicator on the enrollment driving the Student Education Organization Association record is updated and saved.
PutWhen the Resident District field on the enrollment driving the Student Education Organization Association record is updated and saved.
PutWhen a Migrant record is created that has dates falling within the enrollment dates driving the Student Education Organization Association record.
DeleteThis record will delete if the student no longer has an eligible enrollment in the District.
DeleteWhen the State Exclude, WISE Exclude, or No Show check boxes are checked.

Resource Toggle and Resync Logic

This table describes the Resource Toggle and Trigger logic of this object.

Action

Business Rule

NoneIf a resource is toggled to 'OFF' after data has sent, all sent data will remain in the ODS but no new data will send.
ResyncIf a record is in the Ed-Fi Identity Mapping table and not in the ODS, it will be deleted from the Ed-Fi Identity Mapping table.
ResyncIf a record is in the ODS and it does not have a matching record in Campus or the Ed-Fi Identity Mapping table, it will be deleted from the ODS.
ResyncIf a mapping is changed in Resource Preferences, a resync will need to be done to reflect the changes.

Natural Key Changes, Cascading Updates, and Deletes Logic

This table describes the Natural Key Changes/Cascading Updates and Deletes logic of this object.

Action

Business Rule

Post/DeleteNatural Key Change:  If the District Number/Ed-Fi District Number changes, a delete/post will occur with the cascading deletes from the LEA ID Change triggers.   If an Ed-Fi ID changes, this will happen with the cascading deletes from the Ed-Fi ID Change trigger.
DeleteCascading Deletes:  N/A - no dependent resources

Scope Year Logic

This table describes scope year logic of this object.

Logic

The record will send to the scope year for the school year the enrollment is associated with.

  • The enrollment must overlap with the scope year to report.
  • Data will only send for the years that have valid configuration.

When using data in Campus that has a single date, the following logic will be applied to determine the scope year(s) to report the data to.

  • Current Year:  Records will be compared to today's date to determine if the record is eligible to report.
  • Previous Years:  The record's date must be on or before the schools year's end date defined in the School Years editor. If blank, the default date of 6/30/xxxx is used.
  • Future Years:  The record's date must be on or after the schools year's start date defined in the School Years editor. If blank, the default date of 7/01/xxxx is used.

When using data in Campus that have start and end dates, the following logic will be applied to determine the scope year(s) to report the data to.

  • Current Year: The records start date must be on or before today's date and the records end date must be on or after today's date.
  • Previous Years: The record's start date must be on or before the school year's end date and the record's end date must be after the school year's end date defined in the School Years editor. If blank, the default date of 6/30/xxxx is used.
  • Future Years: The record's start date must be on or before the schools year's start date and the record's end date must be on or after the school year's start date defined in the School Years editor. If blank, the default date of 7/01/xxxx is used.

        • Today's date falls after Identified Date and No exit date exists.
        • Program Status must be "EL" or "Exited EL".
      3. If today's date does not fall between the Identified Date and the Exit Date of any LEP record, and no record exists without an Identified Date, use the most recent LEP record with an Exit Date as the Valid EL Record.
  2. For any previous year's data (scope year set to a year with an end date prior to the current date) - Use this when configuration is set up with a prior year:

    • Find the latest EL record within the scope year or before (on or before the last date of the year).

  3. From the identified EL record, calculate the reported value.
    • First, If there is an 'English Proficiency Override' value on the EL record used (see above for logic on which record to use), report that value.
    • If no English proficiency override exists AND the student has exited EL Status and the Exit date is prior to the current date/ end of year date, report '6'.

          1. If Null report this through 6/30/current year.
    • Next, if the student has exited and the Exit date is prior to the current date/ end of year date, report '6'.
    • Otherwise, find an EL Assessment of Assessment Type 'LPF' or 'LID'.
      1. If the student is not a new EL student to this year, use the prior year's assessment score.
        • The student's EL identified date must be prior to the start of the scope year.
      2. If the student is a new EL student, use this year's assessment score.
        • The student's EL identified date must be on or after the start of the scope year and on or before today's date.
      3. For previous year's data, do not use any assessments after the end of the year.
      4. From the identified assessment, pull the result value (1.0-6.0) and display the result truncated to the whole number.
        • For example; the Result on the EL Assessment being considered = 2.8, a '2' is reported.
