Enrollments (Colorado)

Tool Search: Enrollments

The Enrollments tool displays all occurrences of a student’s enrollment in the district. Because this is a historical view, this list could be long.

Enrollments are first listed by grade level first, then by enrollment start date. To reorder the list of enrollments, click the blue hyper-linked headers in the Enrollments Editor list. Enrollment records can be sorted by Grade, Calendar, Start Date or End Date.

General Enrollment Information

Under General Enrollment Information, both the Local Start Status and Local End Status fields are unique to the state of Colorado. These fields are further described below.

Start Date

Indicates the student's first day of enrollment in the selected calendar.

Start Status

Start Status indicates the reason for beginning the student enrollment, entering the school or district or continuing on from another grade. When creating an enrollment for a student, students must have a Start Date and a Start Status. An enrollment cannot be saved without an entry in these fields.

End Date

Indicates the student's last day of enrollment in the selected calendar.

End Status

The End Status indicates the reason the student ends their enrollment in the school. Enrollments with an end date must also have an End Status. However, this condition does not apply when the No Show checkbox is marked. When the No Show checkbox is marked, an End Status  can be entered without an End Date.

State Reporting Fields

Data entries made in the State Reporting Fields section of the Enrollments tool are unique to the state of Colorado and may directly affect the way students are reported to the state department of education.

Updates to State Reporting fields overwrites previously entered data. To preserve this historical information, create a new Enrollment record when changes are needed. Deleting an Enrollment record is NOT recommended.

State Exclude

Excludes the enrollment record from being included in state and federal reports.

Migrant

The student's migrant status.

Immigrant

Indicates the student is considered an immigrant.

Independent Study

Indicates the student is attending an independent study program established by the school district under the supervision of a certificated or licensed teacher and is part of the student's academic schedule.

HSED Instruction

Indicates the student's HSED was funded using state funds either in the form of a district-run HSED program or tuition paid by the district to an external HSED program.

Continuous in US

Indicates the student has been continuously enrolled in a U.S. public school.

Continuous in CO

Indicates the student has been continuously enrolled in a Colorado public school.

Habitually Disruptive

Indicates the student is habitually disruptive in class.

CoAlt Participant

Indicates the student participates in the Colorado alternative assessment program.

Contractual Agreement 3rd Party Ed

Indicates the student is receiving all of their educational instruction through a third party educator/program.

Enrolled in US

The date the student was most recently enrolled in a U.S. school in any grade.

Post Secondary Program

Describes a program for which a secondary student may earn post secondary credit. These same programs are selected on the CEPA record.

Indicates the student is participating in a post secondary program the following school year.

Transition

Indicates the student is in a transition program where students are moved from educational environments to life skill and/or vocational education.

Resident District or State

Serving District

The district serving the student.

School of Accountability

Reports the School of Accountability, or the school that is responsible for the student's education. When the field is not populated on the enrollment record, reports the State School Number.

The code indicating the facility/detention center the student currently attends.

Indicates the type of school and education the student is attending.

Indicates the type of state funding the student receives.

Adjusted Cohort

A cohort is a group of students who enter the 9th grade during the same school year. All first-time 9th graders are assigned to a group. During high school, the cohort is adjusted each year to add verified transfers in and subtract verified transfers out. 

Adj Cohort Justification

The adjustment justification code for the dropout or expulsion.

The gender of the student at the time they dropped out, was expelled, or transferred to an external GED program.

Adj Cohort Race

The race/ethnicity of the student who dropped out, was expelled or transferred to an external GED program.

Adj Cohort Year

The school year in which the student was reported as dropped out or expelled.

Adj Cohort School

The school from which the student dropped out, was expelled or transferred to an external GED program.

Adj Cohort Grade

The grade level at which the student dropped out, was expelled or transferred to an external GED program.

Displaced Homemaker

Indicates the student is considered a displaced homemaker.

Single Parent

Indicates the student is a single parent.

Refugee

Indicates the student is considered a person who is outside their nationality or who is unable or unwilling to return due to persecution on account of race, religion, nationality, social group membership or political opinion.

Indicates the student is home schooled and receiving some services from district.

An indicator that a student is being educated in a program without a school code.
