Tool Search: Assessment Status Calculation Tool

The Assessment Status Calculation Tool is used to calculate Assessment Statuses for assessments that report in the HSDC (High School Data Collection) and Student Record Card 3.

Run the Assessment Status Calculation tool BEFORE generating the the HSDC (High School Data Collection) and Student Record Card 3.

This tool calculates the assessments reported in the HSDC and Student Record Card 3 reports and stores Assessment status values in the Calculated Assessment Statuses tab. The Assessment Status Calculator tool determines whether the student took one of the following assessments and calculates the status of these assessments: MHSA Math, MHSA ELA, MHSA Science, MHSA Government, 11th Grade CCR Math, or 11th Grade CCR ELA.

Report Logic

  • The Assessment Status Calculation Tool calculates based on the options you select on the extract editor.
  • Students with an active enrollment in the selected calendar during the calendar year are updated.
  • When a student has multiple assessments that meet the calculation criteria, the tool only updates the student one time.

Campus Maintained Custom Unweighted GPA Logic

  • The number of decimal places is set up in  System Administration > Preferences > System Preferences > # of Significant GPA Decimal Places
  • Each time the Assessment Status Calculation tool runs, results overwrite previous data.
  • ESOL courses are identified on the Course > Department = ESOL

The Assessment Status Calculation Tool process saves the following assessment statuses on the Calculated Assessment Status tab.

Report Editor

Effective Date

To report, students must have an Enrollment Start Date that is on or before the date selected in this field.

The default date is June 30 of the current school year but can be changed.

Second Semester Start Date

The Second Semester Start Date is used to identify 16: Second Semester Transfer Students. If left blank, that status is not calculated. Each time the Reported Assessment Calculator function is run, all existing values in the database for the Calculated Assessment Status tab are overwritten.

You can overwrite the calculated assessment status values manually in the custom tab or via the Assessment Status Override tool. The Calculated Assessment Status tab should be updated prior to generating HSDC or Student Record Card 3.

Select students by choosing one or more grade levels or a saved ad hoc filter.

  • Grade - Only grade levels from schools active in the selected calendars display. Only students in the selected grade levels report if they meet the reporting requirements.
  • Ad Hoc Filter - Only those students included in the filter report if they meet the reporting requirements.
Select Calendar(s)The calendar(s) from which data is pulled for the report.
Run/Submit to Batch

Users have the option of submitting the report request to the batch queue by clicking Submit to Batch instead of Run. This process allows larger reports to be created in the background without disrupting the use of Campus. For more information about submitting a report to the batch queue, see the Batch Queue article.


Calculate Assessment Statuses

  1. Enter the Effective Date.
  2. Select the Students and Calendars for which you want to calculate Assessment Statuses.
  3. Enter the Second Semester Start Date.
    Note: This is used to identify 16: Second Semester Transfer Students. If left blank, that status is not calculated.
  4. Select the format in which the report will be created. Options include HTML and CSV.
  5. Click Run or Submit to Batch.
    Result: Campus calculates the Assessment Status, stores the Assessment Status on the Calculated Assessment Statuses tab, and creates the Calculated Assessment Results Records report.
